How to Annotate, Sign and Organize a PDF
Last updated
A PDF editor is useful for comments, labels, signatures and page rearrangement. The Advanced PDF Editor combines those tasks in one browser workspace, while the page organizer is a simpler option for moving or removing pages.
Steps
- Open Advanced PDF Editor and choose a PDF, or drop it into the workspace.
- Select a page thumbnail, then choose a text, note, highlight, drawing, shape, image or signature tool.
- Drag the annotation into place and use the properties panel to adjust it.
- Reorder, rotate, insert or remove pages if needed, then export a copy and review it in a PDF reader.
Choose the right kind of edit
Annotations add content over the page while leaving the original page content underneath. Use them for review notes, signatures, highlights and labels. Page Organizer is better for a quick reorder, rotation or deletion without annotations.
The editor also offers approximate in-place text replacement for supported text. It may cover old text and draw new text without reflow, so check spacing and background appearance carefully.
Understand redaction before sharing
A whiteout or cover shape only hides what is below it; someone may still recover that content. The editor's Redact tool removes the covered page content by rasterizing affected pages, which also removes vector detail and form fields from those pages. Inspect the exported result and its selectable text before sharing sensitive documents.
Password-protected PDFs are not supported. Editing may invalidate digital signatures, and large scans can use substantial browser memory. Keep the untouched original until you have checked the edited copy.
Keep the final document easy to review
Use short, readable annotations and place them away from text they could obscure. After export, open the PDF again, inspect every changed page, and verify that page order, signature appearance and selectable text match your needs.
Common questions
Does adding a white box securely erase text?
No. Use the Redact tool for sensitive content; a whiteout or shape is only a visual cover.
Can the editor rewrite paragraphs like a word processor?
No. Its text replacement is approximate and does not reflow surrounding page content.
Do my PDFs upload to the site?
No. The editor processes files locally in your browser.
